Background
While Hillel Academy does not fall under the federal Personal Information Protection and Electronic Documents Act 2000 (also known as the PIPEDA Act), which came into effect in 2004, the school will strive to meet the principles of the Act in the spirit of conducting its affairs according to current “best practices”. In general, this means that when the school collects information about individuals it will do so according to certain principles, including that it will inform those individuals why the information is being gathered and for what purposes it will be used.The proper use and protection of the personal information collected by Hillel Academy is prudent and something that the parent body should reasonably expect.
Brief Summary of the Act and Guidelines
Under the legislation guidelines, personal information can be collected about an individual as long as it is:- Gathered with the knowledge and consent of the individual, either implied or express
- Collected for a reasonable purpose
- Used only for the reasons for which it is collected
- Accurate and up-to-date
- Open for inspection and correction by the individual and
- Stored securely
Personal information includes factual information about an individual, including, age, name, medical records, income, credit records, etc. It does not include a person’s job title, telephone number or address, or anything that can be found through publicly available information such as the telephone book.
Principles
- Accountability - Hillel Academy accepts that it has an obligation to maintain and protect personal information under its control.
- Identifying Purposes – Hillel Academy will strive to identify all purposes for which personal information is collected, and notify the parent body as to these uses, as well as any new purpose for the information which might be identified at a later time.
- Consent - Hillel Academy will seek to obtain consent from the parent body for the collection, use and disclosure of personal information, except where such consent is implied. (Implied consent arises where consent may reasonably be inferred from the action or inaction of the individual.)
- Limiting Collection - The information collected by Hillel Academy will be limited to that which is necessary for the purposes identified.
- Limiting Use, Disclosure and Retention - Hillel Academy will not use or disclose personal information for purposes other than those for which it was collected, except where consent has been obtained.
- Accuracy - Information collected will be maintained in as accurate, complete and up-to-date a form as possible.
- Safeguards - Information will be protected by security safeguards that are appropriate to the sensitivity level of the information.
- Openness – Hillel Academy will provide the parent body access to information concerning its privacy policies with respect to personal information.
- Individual Access - Upon request, individuals will be provided with access to their personal information held by the school wherever reasonable.
- Handling Complaints and Suggestions – Hillel Academy will have a mechanism to receive suggestions or complaints about its policies and practices relating to the handling of personal information.
